Who we are
Pathana ("we," "us," "our") is an operations systems and automation consultancy operating in the United States. This policy explains what information we collect when you visit pathana.co or contact us, why we collect it, and what rights you have over it.
For any question about your data, write to [email protected].
Information we collect
Server access logs (automatic)
Our website is served through Cloudflare. When you visit any page, Cloudflare automatically records:
- Your IP address
- Your browser type, version, and language
- The pages you visited and the time of each visit
- The referring URL (the site that linked you here, if any)
- Approximate geographic location, derived from IP
These logs are used for security, fraud prevention, and to keep the site online. We do not use them to build a profile of you personally.
Email you send us
If you contact [email protected], we receive your email address, name (if you include it), and whatever you write. We use this only to respond to you and to keep a record of our correspondence.
Booking a call
The "Book a call" button on this site is a link to Google Calendar. When you click it, you leave pathana.co and interact directly with Google's booking page. Any information you enter there (your name, email, timezone, and any notes you add) is collected by Google under Google's privacy policy, then shared with us as the meeting organizer. We use it only to attend the call you booked.
The Ops Check quiz
The Ops Check at pathana.co/quiz is an 8-question self-assessment that identifies which of four operational leak types applies to your business. You can take the quiz and see your result without providing any information about yourself.
What we collect if you request the detailed report
After you see your result, you may choose to enter an email address to receive a longer written report matched to your result type. If you do, we collect and process:
- The email address you enter
- Your quiz answers and the resulting score for each of the four leak types
- The date and time of submission
This information is transmitted from the quiz page to our workflow automation tool (Make.com), which stores it in our internal lead tracker (Monday.com) and triggers an email to you with the report. The email is sent from [email protected].
What we do with it
- Send you the requested report, once
- Keep a record of your submission so we can respond if you reply to the email
- Track the anonymized distribution of leak types over time to improve the quiz and the reports
We do NOT: enroll you in a newsletter, add you to marketing sequences, send you follow-up sales emails without your reply, resell or share your email with any third party, or use your email for retargeting or advertising.
Deleting your quiz submission
Email [email protected] with the subject "Delete my Ops Check submission" and we will remove your email, quiz answers, and submission record from our systems within 7 days.
CRM Build Kit downloads
Pathana offers Build Kits (Claude prompt guides for tools such as HubSpot, monday CRM, Salesforce and Pipedrive) on pages linked from our ads and social posts. Some kits are free: to download one, you enter your email address. Others are paid, as are the Leak Finders, the Phase 01 Review and the Fix Build.
When you buy a kit or the System Audit
Payment is handled by Stripe on its own checkout page. Pathana never sees or stores your card details. From Stripe we receive your name, email address, billing country and postal code (used to calculate sales tax), what you bought and the amount, and the campaign details carried in the link you arrived from (for example utm tags). We use this to deliver what you bought (by email, with the PDF attached), handle refunds, keep the accounting records the law requires, and see which ads lead to purchases. If you are in the United States and have not opted out, we also report the purchase to Meta, as described in Cookies and tracking.
What we collect when you request a kit
- The email address you enter
- Which kit you requested and the page you requested it from
- Campaign details carried in the link you arrived from, if present (for example utm tags or an ad click ID), and the referring site
- The date and time of submission
This information is transmitted from the kit page to our workflow automation tool (Make.com), which stores it in our internal lead records.
What we do with it
- Give you the kit download
- Send you a few personal follow-up emails about the kit and Pathana's services
- See which of our ads and posts bring people to the kits, so we know where to spend
You can stop follow-up emails at any time: reply "unsubscribe" or email [email protected], and we will not email you again. We do NOT resell or share your email with any third party, and we do not use it to target you with ads.
Deleting your kit sign-up
Email [email protected] with the subject "Delete my kit sign-up" and we will remove your email and sign-up record from our systems within 7 days.
How we use your information
We use the information described above to:
- Keep the website available, secure, and performing correctly
- Respond to messages you send us
- Attend calls you book with us and follow up afterward
- Comply with applicable laws and respond to lawful requests
We do not sell your data or use it for AI model training. The only advertising use is measuring our own Meta ads, described in Cookies and tracking, which you can opt out of.
Who we share it with
We share your data only with the service providers that make this site and our business run:
- Cloudflare: website hosting, DNS, and security. Cloudflare processes access logs on our behalf. See Cloudflare's privacy policy.
- Google: provides the Calendar booking flow and, if you're a client, may host business email correspondence. See Google's privacy policy.
- Stripe: processes payments for paid kits and the System Audit, and calculates sales tax. Stripe receives your payment details directly. See Stripe's privacy policy.
- Make.com: workflow automation platform we use to route Ops Check quiz submissions, Build Kit sign-ups and purchases from the site and Stripe into our internal records, and to send the quiz report and kit delivery emails. See Make.com's privacy notice.
- Monday.com: internal project and lead tracking tool where quiz submissions are stored. See Monday.com's privacy policy.
- Meta Platforms (Facebook): measures our ads, for US visitors who haven't opted out, through the Meta Pixel and purchase reports. Meta receives the details listed in Cookies and tracking. See Meta's privacy policy.
We may also disclose information if required by law (subpoena, court order, or other lawful process) or to protect our rights, property, or safety.
Our site embeds videos hosted by YouTube. Video content loads only when you choose to play it, and YouTube's privacy policy then applies.
Cookies and tracking
Most of pathana.co sets no cookies of its own. Cloudflare may set a small number of security-related cookies to protect against bots and abuse; these are technical and are not used for advertising.
Meta Pixel and purchase reports (our product pages only). We advertise our Build Kits and Leak Finders on Facebook. To see which ads lead to sales, our Build Kit, Leak Finder, Fix Build and thank-you pages do the following for visitors in the United States:
- Load the Meta Pixel, which sets Meta's
_fbpcookie and tells Meta you viewed the page and clicked Buy. - Keep the ad click ID Facebook adds to the link you arrived from, in your browser's storage.
- When you click Buy, send our automation tool (Make.com) a short record: those Meta identifiers, your browser type, the page and a random checkout code.
- When you complete a purchase, send Meta the purchase: product, amount, time, that record, and your email address and country in hashed (scrambled) form.
Under some US state laws this counts as "sharing" personal information for advertising. We don't do any of this for visitors outside the United States, as far as we can tell from the country Cloudflare reports for your connection.
Your choice. Opt out on our Do Not Sell or Share My Personal Information page. We also treat a Global Privacy Control signal from your browser as an opt-out. When you're opted out, the Pixel doesn't load, we don't keep the ad click ID, and if you buy, Meta is told to restrict how it uses the purchase (Limited Data Use).
Data retention
We keep information only as long as we need it for the purpose it was collected:
- Access logs: retained by Cloudflare per its standard retention (typically no more than a few weeks for detailed logs)
- Emails and call notes: kept for as long as the relationship is active, plus a reasonable period afterward for record-keeping and legal requirements (typically up to 7 years)
- Booking records: retained inside Google Calendar for as long as needed to manage the meeting and follow-up
- Buy-click records (Meta identifiers, browser type, checkout code): deleted after 90 days
- Orders: kept with our accounting records for as long as the law requires (typically up to 7 years)
You can ask us to delete your information at any time (see "Your rights" below).
Security
We use industry-standard measures to protect your information: HTTPS everywhere on this site, restricted access to email and booking data, and reliance on vetted, security-focused providers (Cloudflare and Google Workspace). No online transmission is ever 100% secure, but we take reasonable steps to keep your data safe.
Your rights (general)
Regardless of where you live, you can always:
- Ask what information we hold about you
- Ask us to correct information that's wrong
- Ask us to delete information we hold about you
- Ask us to stop using your information for any specific purpose
Send any such request to [email protected]. We'll respond within 30 days.
If you're a California resident (CCPA / CPRA)
The California Consumer Privacy Act and California Privacy Rights Act give you additional rights:
- Right to know: what categories of personal information we collect, from whom, and why
- Right to delete: request deletion of your personal information
- Right to correct: request correction of inaccurate personal information
- Right to opt out of sale or sharing: Pathana does not sell personal information. On our product pages we share some information with Meta to measure our ads (see Cookies and tracking). Opt out on our Do Not Sell or Share My Personal Information page, by Global Privacy Control, or by emailing [email protected] with the subject "Do not sell or share".
- Right to limit use of sensitive personal information: we do not collect sensitive personal information as defined by CPRA
- Right to non-discrimination: we will not treat you differently for exercising any of these rights
To exercise a California right, email [email protected] with the subject "California Privacy Request." We may ask you to verify your identity before we release or delete information.
If you're in the EU, UK, or EEA (GDPR / UK GDPR)
For visitors in the European Union, United Kingdom, or European Economic Area, Pathana acts as the "data controller" for the personal data described in this policy.
Our legal basis for processing:
- Legitimate interests: for server logs (site security and reliability)
- Consent: when you voluntarily contact us or book a call
- Contract: when we're providing services to you as a client
- Legal obligation: when required by law
Your rights under GDPR:
- Access: get a copy of your personal data
- Rectification: correct inaccurate data

- Objection: object to specific processing (including legitimate interest processing)

- Lodge a complaint with your local supervisory authority
International data transfers. Pathana is based in the United States. If you contact us, book a call or buy from us, your personal data will be transferred to and processed in the United States. We don't load the Meta Pixel or report purchases to Meta for visitors outside the United States. We rely on standard contractual clauses and the safeguards of our service providers (Cloudflare, Google) for transfers, and you can ask us for details.
To exercise a GDPR right, email [email protected]. We'll respond within 30 days.
